Auto Attendant

 

Overview

Audio Attendant (also called audiotext) is a voice processing application that allows callers to listen to a menu of options and then select the area they are interested in by pressing the corresponding number on their telephone's keypad. For example, at a theatre ticket office you might hear something like, "for a list of shows now playing, press 1; for show times, press 2; for previews, press 3." You can also give callers the option to transfer to a "live" operator for further assistance.

Auto attendants can enhance productivity and reduce costs by the following ways:

  • Provide 24 Hour Availability - callers can listen to information at any time, even during non-business hours
  • Improve Information Accuracy - the same information is heard by all callers
  • Improve Productivity - reduces the number of routine questions, etc. employees have to answer
  • Reduce Paperwork - eliminates the expense of maintaining memos, manuals, or newsletters.

Optional Features

Dial By Extension is a voice processing application that allows a caller to dial your department's main number and then enter the 5-digit extension number (2-xxxx, 7-xxxx, 8-xxxx or 4-xxxx) of the person they want to reach. The caller will automatically be transferred to that party.

Dial By Name enables a caller to reach a particular staff member in your department by spelling that staff member's name with the corresponding digits on their telephone keypad. This is extremely useful when a caller does not know the telephone extension of the person they are trying to reach. The system will tell the caller the 5-digit extension number for future reference and then transfer the caller to the extension.
